1. Who we are
Flowody is a job management platform for Australian service businesses, operated by Flowody Software (ABN available on request). Throughout this policy, “Flowody”, “we”, “us”, and “our” all refer to Flowody Software.

2. What information we collect
We collect what you give us directly — when you sign up, add jobs, manage customers, or get in touch. That includes:
- Name, email, phone number, and business details
- Jobs, quotes, invoices, and customer records you create
- Payment information — processed securely through Stripe. We never see or store your card number.
- Profile photos and files you upload
- Support messages you send to our team
We also collect a small amount of technical data automatically — your IP address, browser type, and pages visited. This is used to keep the platform secure and diagnose problems, nothing else.
3. How we use your information
We use your data to run the platform — full stop. We don't sell it, we don't use it to target ads, and we don't share it with anyone who doesn't need it to make Flowody work for you.
- Running and maintaining your account
- Processing payments and sending receipts
- Delivering transactional emails — invoices, quotes, job updates
- Responding to your support requests
- Detecting and preventing fraud or security issues
- Improving the platform based on how it's used (aggregated and anonymised — never individual activity)
4. Who we share your data with
We only pass data to providers that directly help us run the platform. These are:
- Stripe — payment processing
- Xero — accounting integration, but only if you choose to connect your account
- SMS providers — sending job notifications via SMS, only when you have that feature enabled
- Email delivery services — sending your transactional emails
Every provider we use is contracted not to use your data for their own purposes. Your data goes in, the service is delivered, and that's the end of it.
5. How we keep your data safe
We use encrypted connections (HTTPS/TLS), strict access controls, and regular security reviews. Every company account on Flowody is fully isolated — no other business can see your jobs, customers, or invoices.
No system is completely immune to risk, and we won't claim otherwise. If we ever become aware of a breach affecting your account, we'll notify you promptly — in line with the Australian Notifiable Data Breaches scheme.
6. Your rights
Under the Australian Privacy Act 1988, you have the right to know what we hold, correct it if it's wrong, and request deletion if you're done with us. Specifically:
- Access the personal information we hold about you
- Have inaccurate information corrected
- Request deletion of your data (some information may need to be retained for legal or tax purposes)
- Opt out of non-essential communications at any time

7. Cookies
We use essential cookies only — to keep you logged in and hold your session. There are no advertising cookies, no third-party trackers, and no remarketing. We're a job management tool, not an ad network.
8. Changes to this policy
If we make any material changes, we'll let you know by email or with a notice inside the platform — before the change takes effect, not after. The date at the top of this page always shows the latest version.
